Evidence for your child safe review.

Child safe, screening and excursion procedures, written out by role and confirmed by the staff who run them.

What they ask, and what you can show.

Australian, state and territory governments endorsed the 10 National Principles for Child Safe Organisations in February 2019, and each state and territory puts them, or its own child safe standards, into practice. In Victoria, 11 Child Safe Standards are mandatory. Every routine here is described by role, never by student.

Child safe procedures

They ask Your state’s child safe standards, and the regulator that reviews your school against them.

In Entrilla Each procedure written out, who confirmed each step and when, and a review date so it is re-checked on time.

Working with children checks

They ask Staff and volunteers in child-related work hold the check your state requires.

In Entrilla Your onboarding routine with the check as its own step: who checks it, in which system, and who confirmed the step.

Excursion approval

They ask Your excursion policy sets who signs off a trip and what is checked first.

In Entrilla The whole routine by role, from the plan to the day, confirmed by the staff who run it.

Changes since the last review

They ask What changed, and who changed it.

In Entrilla Every edit, sign-off, version and lock in the activity log with the person and the time; versions compare with today.

Fictional example

Excursion approval.

A made-up process, each step described by role. In Entrilla, each step shows who confirmed it and when.

  1. Classroom teacher: Drafts the excursion plan and its risk assessment.
  2. Year coordinator: Checks staffing, and that each adult attending holds a current check.
  3. Business manager: Books transport and files the venue’s insurance certificate.
  4. Deputy principal: Signs off the excursion.
  5. Administration officer: Sends consent forms and records the returns in the student system.
  6. Classroom teacher: Takes the medical and contact list on the day.

What Entrilla keeps

The record, on every plan.

  • Written procedures. Each process can carry a written procedure, drafted by the AI from the map or written by you, and printed from your browser.
  • Sign-offs tied to a login. People confirm their steps signed in as themselves. Each step keeps their name and the date; only they or an editor can take it off.
  • Review dates. Set a process to be re-checked every 3 months, 6 months or yearly. When it falls due, the map shows Review due.
  • Every change logged. Edit a step and its sign-off drops until someone confirms it again. Edits, sign-offs, versions and locks are logged with the person and the time.
  • Versions and lock. Name a version, compare it with today or bring it back. An admin can lock a process so nobody edits it.
  • Export. One file holds every process, who confirmed each step and when, the versions, the written procedures and the activity log.

Questions

Questions about this review.

Which child safe standards apply to our school?

Your state’s or territory’s, through its own regulator. They draw on the 10 National Principles for Child Safe Organisations. Entrilla keeps the same record whichever applies.

Do student names go into Entrilla?

Describe every step by role, never by student. Student records stay in your student system; Entrilla holds how the work is done.

Can we show what changed since our last review?

Yes. Every edit, sign-off, version and lock is in the activity log with the person and the time, and it comes out as activity.csv in the one-file export.
