- Demo: Coastline Trading Co. (fictional company). A half-built process map; the step “Chase approval by email” jitters while unread “Re: approval?” emails stack up. Caption: “Invoices chased for approval. By email.”
- A sentence types itself: “invoices come in, we match them, then email the manager and chase…” Caption: “Describe it in plain words.”
- Three lanes (Accounts, Managers, Suppliers) and six steps build into a map; Sam ticks one step “Looks right”. Caption: “Mapped. Checked by Sam.”
- “Chase approval by email” is tagged Waste (same approval asked twice); “Match to order and docket” turns green: Protective, keep it, make it cheaper. Caption: “Not everything is waste.”
- Three plays for the chase step: Now (effort S, runs on what you have), 80/20 (M) and Ideal (L). Caption: “Three ways to fix it.”
- Now is picked. Caption: “You pick. Your people build it.”
- The sum: 6 h/wk × 52 × $55/h (your rate) ≈ $17,200 a year, with “Nothing counts more than the step costs”. Caption: “About A$17,200 a year, once it ships.”
- Caption: “Your process next.” The film loops.
1 · Describe
If you can say what happens next, you can map it.
Type it, dictate it, photograph the whiteboard, or upload a Teams or Zoom transcript, a Word file, a PDF or a spreadsheet. The AI drafts the steps, who does each one and the waits between them; speakers in a transcript become roles, not names.
Every import lands on a check screen before it's added, and the map stays editable after.

2 · Confirm
The people who do it check it.
Send a link or a QR code. Each person opens their own steps on their phone and taps “Still runs this way” or “Something's off”, with a note. Their name goes on the step.
Change a step and its confirmation drops off, flagged “Changed since it was confirmed”. Anyone who only looks, or checks their own steps, is free on every plan.

- Demo: Coastline Trading Co. (fictional company). Beside the map, a QR code: scan to confirm. On the phone page for the step “Email manager for approval”, the big button “Still runs this way” is tapped, and the step on the map is marked as confirmed. Caption: “Confirmed by the people who do it.”

3 · Analyse
Waste, apart from the checks worth keeping.
Press Analyse. The AI reads every step: how long it takes, where it waits and what slows people down, plus the tools you have and any rules you've set. Every slow step is tagged:
- Waste
- Remove it. “Chase approval by email”: the same approval, asked twice.
- Protective
- Keep it, make it cheaper. “Match to order and docket” stops you paying for goods that never arrived.
- Real work
- Leave it. “Weekly pay run” is the work itself.
For process teams
In Lean terms, Waste, Protective and Real work are non-value-added, business-value-added and value-added. Recommendations follow the remove, combine, simplify and automate pattern, and every map has People and Systems swimlane views.
Rules for the AI. The people you choose set rules in plain English (“nothing leaves Microsoft 365”), for the whole business or one department. Any suggestion a rule shaped says “Rule applied”. The AI never changes a live workflow on its own. It edits one only when a person in your organisation asks it to, saving a version first so the change can be put back, and its recommendations change nothing until someone accepts them.

4 · Fix
Three ways to fix it. You pick.
On the Team plan, each problem step gets three ways to fix it, which the app calls plays: Now, the best you can build with what's in hand today; 80/20, most of the value with some set-up (here, approval rules: just a setting); and Ideal, the full fix. Each says how big a job it is (small, medium or large), lists the tools it uses, and says plainly when one is still missing. You pick one; your people build it.
On the Team plan, the fixes you pick go on one shared build board, so everyone can see what's waiting, what's being built and what's done. Tracking the build itself stays in your own project tool.
Chase approval by email Waste10 h a week: 75 invoices × 8 min
- Nowsmall job
Send bills for approval inside the accounting system you already use; managers approve there, not by email.
6 h a week✓ Runs on what you have
Uses:Your accounting systemShared inbox
- 80/20medium job
Approval rules by amount and supplier, set in the accounting system. Bills under a threshold you choose (say A$500), still matched to order and docket, go straight through; bills over A$5k go to a second approver.
8 h a week
Just a setting: approval rules in your accounting system. Nothing new to get.

- Ideallarge job
Managers approve from their phone or Teams with the matched order attached, and reminders go out automatically.
9.5 h a week
Coastline already has Teams, so there's nothing new to buy. The work is setting it up.

What it runs on, as the app names it
- Now: Finance system access (AP/AR) (Your accounting system); Shared inboxes / intake addresses (Shared inbox)
- 80/20: Finance system access (AP/AR) (Your accounting system)

Your tools
What you have, what's on its way, what's worth asking for.
List what your organisation has, from AI assistants to service accounts, and mark each Have, Incoming, Chasing, Parked or Not available. The analysis reads it.
Every recommendation then says “Runs on what you have”, or “Needs” and names the tool it's waiting on. In the app this list is the ingredient shelf. “Worth chasing hardest” ranks the missing pieces by how many more fixes each one would let you build.

Every dollar shows its working.
Hours × your rate × 52 weeks, capped at what the step costs, counted as hours freed, not cash. Nothing counts as banked until the change is adopted or its build ships. Only the people you choose set rates and see dollars; everyone else sees hours.
