Rank your automation backlog.
Entrilla finds the same fix across your processes and ranks them by the hours they give back.

The ranked list
One list across every workflow.
Each row is one thing to build: the workflows it touches, the hours a year it gives back, its effort, and whether it runs on what you have or what it needs first.
- 1
Approvals inside the systems you already use
The approval chase: an email, then another, for the same yes.

Sort the shared inboxes before anyone reads them
Every email is read once to sort it and again to answer it.

Build once
Build once, save everywhere.
The same fix often turns up in several workflows. Entrilla groups them into one theme, so one build is counted against every step it fixes.

Your tools
Have versus need.
List what your organisation has: AI assistants, model access, assistant connections (MCP), build connections, plumbing, approvals. Mark each Have, Incoming, Chasing, Parked or Not available.
Every recommendation then says “Runs on what you have” or names what it needs, and “Worth chasing hardest” shows which missing piece unblocks the most.

Three ways, sized
Three ways to fix it, each sized.
Flag a step, a run of steps or a recommendation to the build board (Team plan). Each card gets three ways to fix it on the Team plan (Now, 80/20 and Ideal), each with the tools it uses and how big a job it is.
Cards move across the board, from waiting to being built to shipped. Tracking the build itself stays in your own project tool.
Chase approval by email Waste10 h a week: 75 invoices × 8 min
- Nowsmall job
Send bills for approval inside the accounting system you already use; managers approve there, not by email.
6 h a week✓ Runs on what you have
Uses:Your accounting systemShared inbox
- 80/20medium job
Approval rules by amount and supplier, set in the accounting system. Bills under a threshold you choose (say A$500), still matched to order and docket, go straight through; bills over A$5k go to a second approver.
8 h a week
Just a setting: approval rules in your accounting system. Nothing new to get.
Uses:Your accounting system
- Ideallarge job
Managers approve from their phone or Teams with the matched order attached, and reminders go out automatically.
9.5 h a week
Coastline already has Teams, so there's nothing new to buy. The work is setting it up.
Uses:Your accounting systemTeams
Demo: Coastline Trading Co. (fictional company). All three stay under the step's 10 hours.
What it runs on, as the app names it
- Now: Finance system access (AP/AR) (Your accounting system); Shared inboxes / intake addresses (Shared inbox)
- 80/20: Finance system access (AP/AR) (Your accounting system)
- Ideal: Finance system access (AP/AR) (Your accounting system); Teams channel posting (Graph or webhook) (Teams)
Ground rules for the AI.
Systems view
Any map as swimlanes by system, not by person. Systems come from one registry: rename once, it changes everywhere.
Rules for the AI
The people you choose set rules in plain English (up to 300 characters), for the whole business or one department, such as “nothing leaves Microsoft 365”. Any suggestion a rule shaped says “Rule applied”.
Nothing changes on its own
The AI edits a workflow only when someone asks it to, saving a version first. Its recommendations change nothing until a person accepts them.
Plugs into what you run.
Webhooks
Signed outbound events to Power Automate, n8n or Zapier: workflow created, analysis run, proposal adopted, card moved into build, question answered. Team plan.
MCP server
Read-only, with an API key: workflows, summaries, recommendations, themes, the shelf, rules and the build board, from Claude, Copilot or Cursor. Team plan.
Sign-in
Microsoft and Google sign-in are built in from Starter up, with a domain allow-list. Okta on request, set up in your own Okta. SAML single sign-on with automatic provisioning is planned for Enterprise.
Webhook and MCP docs on request: support@entrilla.com.
Start with the step that pays most.
14-day trial of the Team plan, no card. Build board, webhooks and MCP included.
