Evidence for your aged care audit.

Your organisation’s routines, written out by role, confirmed by staff, re-checked on dates you set.

What they ask, and what you can show.

The strengthened Aged Care Quality Standards started on 1 November 2025, under the Aged Care Act 2024. Standard 2, The organisation, covers the routines below. Each is described by role, never by resident.

Policies and procedures kept up to date

They ask Standard 2 asks providers to have quality systems and processes, and to keep policies and procedures up to date.

In Entrilla A review date on each routine: every 3 months, 6 months or yearly. When it falls due, the map shows Review due and the department summary counts it.

Incident management

They ask Standard 2 asks providers to use an incident management system.

In Entrilla The incident routine as written, by role, with who confirmed each step and when it last changed.

Feedback and complaints

They ask Standard 2 asks providers to encourage and support workers and older people to make complaints and give feedback.

In Entrilla The complaints routine, step by step, and every change to it in the activity log.

Changes you commit to

They ask When a review finds a routine that has to change.

In Entrilla Track the change from In build to Shipped on the build board (Team plan), then lock the routine so it stays as agreed.

Fictional example

Feedback and complaints, first contact to close.

A made-up process, each step described by role. In Entrilla, each step shows who confirmed it and when.

  1. Care worker: Listens, then records the concern in the feedback system.
  2. Service manager: Acknowledges it within the time your policy sets.
  3. Service manager: Looks into what happened with the staff involved.
  4. Quality coordinator: Records the outcome and any routine that changes.
  5. Quality coordinator: Reports themes to the governing body each quarter.

What Entrilla keeps

The record, on every plan.

  • Written procedures. Each process can carry a written procedure, drafted by the AI from the map or written by you, and printed from your browser.
  • Sign-offs tied to a login. People confirm their steps signed in as themselves. Each step keeps their name and the date; only they or an editor can take it off.
  • Review dates. Set a process to be re-checked every 3 months, 6 months or yearly. When it falls due, the map shows Review due.
  • Every change logged. Edit a step and its sign-off drops until someone confirms it again. Edits, sign-offs, versions and locks are logged with the person and the time.
  • Versions and lock. Name a version, compare it with today or bring it back. An admin can lock a process so nobody edits it.
  • Export. One file holds every process, who confirmed each step and when, the versions, the written procedures and the activity log.

Questions

Questions about this review.

When did the strengthened Quality Standards start?

On 1 November 2025, under the Aged Care Act 2024. They replaced the previous Standards, which applied from 1 July 2019 to 31 October 2025.

Where do resident records go?

In your care management system. Entrilla holds how the work is done: each routine by role, never by resident, who confirmed each step, and every change.

Can we stop a routine changing between reviews?

Yes. An admin can lock a process so nobody edits it until an admin lifts the lock. Notes still work; confirmations wait until the lock is lifted. Both go in the activity log.
